Property Document Checklist Before Closing

What documents do I need before closing on a house?

Collect the lender's written condition, any engineering report, title records, and insurance documents, each tied to the person who will resolve it. A closing checklist separates four decisions: whether the borrower qualifies, whether the property meets the loan requirements, whether insurance is available, and whether title work is complete.

One approval does not answer all four questions.

This August planning guide is for buyers and agents preparing a fall transaction. Start a shared list with the responsible person, the exact outstanding request, and the document that will resolve it. Avoid a single vague task called “get the house approved.”

Put the written condition beside the right owner

The loan officer can identify the loan program and explain the underwriting request. The engineer can discuss an identified structural or foundation question. The insurance agent can explain the carrier's documentation request. The title company can identify title and recording items for that transaction.

For example, a manufactured home's foundation report and an affidavit concerning affixation are different documents. Ask who needs each one and why. A PDF in the file is useful only if it addresses the actual condition.

Make a one-page property brief

Include the property address, state, transaction type, target closing date, and access contact. Add the wording of any lender or insurer condition. For manufactured homes, note whether the installation history is known. For an altered house, identify the work that prompted the concern.

Keep sensitive financial material with the lender. An engineer generally needs the property question, not your full credit report or bank statements.

Ask about dependencies before choosing dates

  • Does someone need to inspect before a repair scope can be written?
  • Must repairs be completed before a follow-up report?
  • Who reviews the document after it is delivered?
  • Is a title or permit item waiting on a different professional?

Use the answers to coordinate the sequence. Do not assume that an engineer's delivery date is the lender's approval date or the recorder's completion date.

Start with the unresolved question

Review our engineering services and report examples, then ask Scapular for property and financing help. If you already have a lender, bring its written condition; if you need a lender source, say so.

For manufactured-home foundation terminology, HUD's Permanent Foundations Guide is a primary reference. Your lender should identify the criteria required for your specific loan.

Moved home? Start with the structural report.

A new conventional financing path may require a post-move structural integrity inspection.
